Appointment Confirmation and Cancellation Policy

To accommodate you better and ensure we are maximizing our team’s time to see more patients in need, we have implemented the following appointment confirmation policy.

Here’s how it will work:

  • 5 days prior to your appointment, you will receive an email and text message reminder to make sure the appointment still works with your schedule. If not, we encourage you to call us to reschedule.

  • 3 days prior to your appointment, you will receive an email and text message reminder with a request to confirm your appointment.

  • 2 days prior to your appointment, you will receive an email and text message reminder with a request to confirm your appointment.

  • 1 day prior to your appointment – If you have not yet confirmed your appointment, you will receive a text message from our practice, asking you to confirm your appointment by 4pm. Unconfirmed appointments will be released so that another pet can be scheduled.

The goal of this policy is to increase our availability to treat pets in need.

New Clients

New clients will need to prepay for their pet’s physical exam as a deposit when the appointment is scheduled. We require clients to confirm their appointment via text, call, or email by 4pm the day prior to your appointment. If you do not confirm by 4 pm the day prior to your appointment, then your appointment will be released to another client in need and your deposit will be forfeited, nontransferable and nonrefundable. If you confirm your appointment and no show your deposit will be forfeited, nontransferable and nonrefundable.

Existing Clients

We understand there may be times when unforeseen circumstances occur, and you may not be able to keep your scheduled appointment. We require clients to confirm their appointment via text, call, or email by 4pm the day prior to your appointment. If you do not confirm by 4 pm the day prior to your appointment, then your appointment will be released to another client in need.

If there are (2) two unconfirmed appointments in a 12-month period, then we will require that you prepay for your pet’s future exams as a deposit at the time of scheduling. If you do not confirm by 4pm the day prior to your appointment then your prepayment will be forfeited, non-transferable and nonrefundable. If you confirm your appointment and do not show up for your deposit, will be forfeited nontransferable and nonrefundable.
